Role & Responsibilities• Accurately file, scan, index, and retrieve digital and physical employee records, ensuring compliance with internal protocols and retention policies.• Organize and maintain personnel, payroll, and onboarding documents across shared drives and HRIS platforms with zero tolerance for misfiling.• Support recruiters and HR teams by quickly locating and providing requested files—meeting SLAs for internal stakeholders.• Perform routine data entry and verification tasks for new hires, promotions, and terminations to keep records current and audit-ready.• Flag inconsistencies or missing documentation to supervisors and assist in resolving discrepancies efficiently.• Adhere strictly to confidentiality standards and data privacy regulations (e.g., HIPAA, state-specific rules) when handling sensitive HR materials.Skills & QualificationsMust-Have• Proficiency in Microsoft Office Suite (Word, Excel, Outlook)• Experience with cloud document management systems (e.g., Google Drive, SharePoint, DocuWare)• Strong attention to detail and organizational skills• Ability to follow standardized filing procedures and checklists• Basic data entry accuracy (minimum 98% error-free rate)• Valid U.S. work authorization and ability to work remotely full-time• Comfort working independently with minimal supervision• Excellent written communication for internal documentation and email correspondence• Preferred• Experience with ATS platforms (e.g., Greenhouse, Workday, BambooHR)• Familiarity with HR compliance guidelines (e.g., EEOC, FMLA documentation)• Previous remote work experience in administrative or clerical rolesBenefits & Culture Highlights• 100% remote flexibility with asynchronous work options• Weekly stipend for home office setup and internet• Opportunity to grow into HR operations or talent coordination roles
