About this role
_Our Family Medicine Residency Office is seeking a detail-oriented Credentialing Administrator to support our physicians, residents, and leadership team. In this essential role, you'll help ensure credentials, licensure, and compliance requirements are met-allowing our providers to focus on education, patient care, and community impact._ Responsibilities:
+ Process loan deferment requests on behalf of residents and fellows.
+ Collect and evaluate/approve applications for Observership Candidates (UPMC ME Program Visitors). Manage all documents within application including but not limited to health screenings, ACT 33/34/73 clearances, payments, HIPPA modules, etc.
+ Serve as main contact for verifications of training by answering emails from service account, providing guidance to external agencies requesting verifications, and efficiently/accurately processing verification of training to internal and external parties.
+ Produce monthly information for Risk Management form ensuring accuracy in order to issue malpractice insurance.
+ Collect required documents for UPMC ME Visiting Residents.
+ Manage all documents within application including but not limited training licenses, ACT 33/34/73 clearances, demographic documentation, etc.
+ Process new, renewing and terminating training license applications with the State Board of Medicine for both Allopathic and Osteopathic trainees and address discrepancies regarding completion of Act 31 clearances.
+ Creates a culture of service excellence focused on defining, understanding and consistently satisfying the requirements of both internal and external customers.
+ Assists with providing data critical to the annual Chairman's evaluation.
+ Maintain accurate license (MT/DO) and clearance (Act 33/34/73) records within electronic databases (PeopleSoft and MedHub) and perform audits within these systems.
+ Produce the documentation and order annual training certificates. Perform annual audit of completed certificates into MedHub Trainee Management System.
+ Maintains frequent contact and provides assistance and resources to the UPMC ME Leadership, DIO Management Team, Program Directors and Program Coordinators to effectively manage the collection, submission and record maintenance for training licenses, clearances, and verifications. Preferred Skillsets: Must be good with computers & familiar/able to learn how to use Teams, Excel, data entry, PowerPoint, Microsoft channels, SharePoint, social media, Canva, minted, electronic forms, surveys/polls etc. Must be highly organized, able to multitask, and comfortable working with Physicians. Schedule/Travel: Monday-Friday, either 7AM-3:30PM, 8AM-4:30PM or 8:30AM-5PM depending on what is needed by the department. Occasional travel to Pittsburgh or a Conference for the ACGME or UPMC GME may be required. This is an in-person job at the Washington office, but after the 90-day orientation period one day remote will be allowed.
+ Bachelor of Arts/Science or equivalent work experience required; 2 or more years of experience in human resource or medical records preferred.
+ Working knowledge of principles related to application review and processing. Must possess analytical and problem solving skills as well as the ability to coordinate with others and communicate effectively with various management levels within the organization. In addition, candidate must understand health system regulations.Must possess a working knowledge of PC based systems (excel, Databases, etc.) and experience in creating web-based tutorials.Ability to work in fast-paced office and meet deadlines as assigned by the Director, GME Accreditation, Director, GME Operations, and UPMC ME Senior Management.Licensure, Certifications, and Clearances:
+ Act 31 Child Abuse Reporting with renewal
+ Act 33 with renewal
+ Act 34 with renewal
