About this role
Job Title: Executive supportDuration: 3 months (possible extension)Location: San Jose CA 95134Pay rate: $48 - $51.72 hourly on W2JOB SUMMARYKey responsibilities:
* Displays professional etiquette, maintains discretion, and uses appropriate interpersonal skills in interactions at all organizational levels.
* Manage multiple complex calendars, coordinate meetings, and prioritize scheduling across time zones
* Arrange and manage high volume domestic and international travel, including itineraries, accommodations, visas, and expense reporting
* Proactively handles responsibilities and consistently delivers exceptional results
* Draft, edit, and format correspondence, reports, and presentations using MS Office Suite
* Handle confidential communications and ensure timely responses to priority items
* Coordinate logistics for team meetings, site events, and large group functions
* Oversee office supply inventory, equipment maintenance, and vendor coordination
* Manage incoming and outgoing communications, mail, and package distribution
* Serve as liaison between leadership, internal departments, and administrative peers across Company sites
* Provide backup support to team members, other administrative staff and departments as needed
* Provide concierge support to executives' teams, building and floor support with questions, travel, notary service, business card ordering, supply or equipment ordering and resource seeking
* Assist with onboarding and training of new administrative professionals
* Assist with site activities through planning, volunteering, and execution
* Support Workforce Development initiatives, including technical article submissions
Qualifications:
* Minimum 5 years of experience supporting senior executives in a fast-paced environment
* Proficiency in multiple calendars management, complex domestic and international travel, and working across global time zones
* Proven ability to balance and manage multiple priorities with discretion, professionalism, and limited oversight
* Strong written and verbal communication skills
* Proficiency in MS Office Suite and virtual collaboration tools
* Demonstrated ability to work independently and collaboratively
* Notary Public certification (or willingness to obtain)
