We’re looking for an Accounts Payable Coordinator to join our Food & Beverage team and own the day-to-day AP operations in a high-volume, dynamic environment.You'll be working 100% from our Wilmington, DE office.This role is perfect for an organized, solutions-oriented professional who enjoys juggling multiple priorities, maintaining strong vendor relationships, and ensuring accuracy behind the scenes of a thriving F&B operation.
What You’ll Do
As our F&B Accounts Payable Coordinator, you’ll play a critical role in keeping our financial operations running smoothly:•
Process high-volume accounts payable, including invoice coding, matching, and entry•
Reconcile vendor statements and resolve discrepancies efficiently•
Perform bank and credit card reconciliations on a regular basis•
Set up and maintain accurate vendor records•
Coordinate payment runs (checks, ACH, wires) with proper approvals•
Serve as a point of contact for AP-related questions from vendors and internal teams•
Support month-end close activities related to AP and cash accounts•
Maintain organized digital and physical AP files in line with company policies•
Assist with audits and provide requested documentation•
Collaborate closely with operations, purchasing, and inventory teams to support accurate financial reportingWhat We’re Looking For
You’ll be a great fit if you bring:•
2+ years of accounts payable experience (F&B or hospitality strongly preferred)•
Proven experience with bank reconciliations•
Comfort working in high-volume, multi-vendor AP environments•
Experience with accounting software (Sage or similar systems)•
Strong Excel skills and confidence working with detailed reports•
Excellent attention to detail and organizational skills•
Ability to manage multiple deadlines in a fast-paced setting•
Strong communication skills and a professional, service-oriented approach to vendor management•
Experience with inventory-related invoices and COGS•
Exposure to multi-location operations•
