We pride ourselves on professionalism, efficiency, and delivering a 5-star customer experience.We are looking for a highly organized, detail-oriented Office & Operations Manager to take ownership of daily operations, crew coordination, and customer experience.Role OverviewThis role is the backbone of our business operations. You will manage scheduling, oversee crews, ensure job quality, track performance, and keep communication flowing between customers, field teams, and leadership.This is not a passive admin role — we need someone who can own operations, solve problems, and drive accountability.Key ResponsibilitiesCustomer & Scheduling Management• Handle inbound calls, leads, and booking requests
• Schedule moves and junk jobs efficiently (routing + crew optimization)
• Confirm jobs and communicate expectations with customers
• Manage reschedules, cancellations, and customer concerns
•Crew & Job Coordination• Assign crews based on job size, location, and skill level
• Ensure crews follow operational SOPs:
• Pre-job truck inspections
• Proper equipment/supply checks (dollies, blankets, tools)
• Job start/finish updates via Slack
• Monitor crews throughout the day and provide support as neededJob Quality & Compliance• Ensure crews upload required documentation:
• Before/after photos
• Loaded truck photos
• Junk removal documentation
• Track job hours, payments, and completion status
• Report damages, incidents, or claims immediatelyPayments & Documentation• Ensure accurate billing and payment collection
• Track payment methods and job totals
• Maintain records for receipts (fuel, supplies, dump fees)Operations & Performance Tracking• Monitor daily job performance and efficiency
• Identify scheduling gaps and optimization opportunities
• Support pricing and estimate follow-ups
• Help improve systems and workflowsAdministrative & Office Management• Maintain internal systems (CRM, scheduling tools, Slack)
• Coordinate team communication and updates
• Assist with hiring coordination and onboarding support
• Keep office operations organized and efficient✅ Requirements• 2+ years experience in:
• Operations management, logistics, or scheduling
• OR moving, logistics, home services industry (preferred)
• Strong organizational and multitasking skills
• Excellent communication (phone + written)
• Ability to handle high-pressure, fast-paced environments
• Tech-savvy (CRM tools, spreadsheets, Slack, etc.)
• Problem-solving mindset with attention to detail⭐ Preferred (Nice to Have)• Experience in moving, junk removal, or logistics dispatch
• Experience with route planning / crew scheduling
• Customer service or sales experience
• Familiarity with Google Business Profile, LSA, or lead handlingCompensation• Competitive salary (based on experience)
