SFDC Admin Assistant
Department: Sullivan Family Distribution Center
Reports to: Director of Distributions
Summary: Assist the Executive Director of the Sullivan Family Distribution Centers (SFDC) in scheduling and administering interdivision related initiatives with a focus on the SFDC. Ideal candidate would have great communication skills and organization skills. Candidate would be based out of our Sullivan Family Distribution Center in Waipio.
Essential Duties and Responsibilities:
• General administrative
• General office duties: telephone and messaging, interoffice mail, maintain office supplies and material, travel arrangements, fax/photocopy/e-mail communications, schedule/coordinate meetings
• Type and distribute, upon review and approval, departmental correspondence reports, memos, and projects from notes or drafts
• Record, transcribe and distribute meeting minutes within appropriate time frames
• Prepare presentations, special reports, memoranda, transcribing, word processing, spreadsheets, compose letters and routine correspondence
• Employee Support
• Manage SFDC HR employee documents in accordance with Main Office HR dept/Payroll dept. Scheduling and processing of applicants and new hire documents
• Inputting of schedules into E-time pay-roll system and ensure accurate timecards are processed
• Other duties as assigned.
Education, Training, Skills and Experience Requirements:
• Excellent typing, oral/written English communication
• Computer skills: knowledge of software, database, word processing programs
• Able to work independently and on a team
• Operate general office equipment like copier, fax, multi-line phone system, scanner
• Attention to detail and good organizational skills
• Ability to handle multiple demands, work under time pressures, and meet deadlines
• Ability to read and comprehend instructions
• Demonstrate accuracy and thoroughness
Physical Demands:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Sitting at a desk or table working on a computer, walking (more than 50% of the time). Vision, hearing, speech and literacy (critical). Lifting, pushing, pulling or carrying (less than 25% of the time). Bending, kneeling, continuously standing, using chemical agents or wearing protective clothing (less than 25% of the time).
