Title: Office ManagerLocation: Plymouth, MNDuration: 11 MonthJob SummaryThis role supports the Cardiovascular Public Affairs leadership team to ensure smooth, efficient, and compliant operations. The position goes beyond a traditional communications specialist and focuses on managing complex calendars, budgets, expenses, and contracts with agencies. The role acts as a critical link between external partners and internal functions such as Finance, Procurement, Legal, and Tax, while supporting up to across multiple locations.Key Responsibilities• Executive & Calendar Management

• Manage demanding calendars and schedules, including meeting coordination, time-zone alignment, and priority setting.

• Coordinate travel arrangements, meetings, and events; ensure logistics, agendas, and materials are prepared in advance.

• Handle expense reporting and reimbursement submissions using tools.

• Financial & Budget Management

• Track and manage team and project budgets, ensuring expenses remain on plan.

• Process and monitor invoices, purchase orders, shopping carts, disbursement requests, and vendor payments.

• Support new vendor setup and deviation requests in systems.

• Partner with Finance to ensure accurate coding, timely payments, and adherence to financial controls.

• Contracting & Agency Management

• Support and track the contracting process, including:

• Master Service Agreements (MSAs)

• Statements of Work (SOWs)

• HCP contract requests (as needed)

• Serve as day-to-day liaison between Public Affairs, PR/video/design partners, and business leads for routing contracts, SOWs, and approvals.

• Maintain organized records of contracts, budget status, and deliverables.

• Communications & Admin Support

• Proofread and format press releases and executive communications, supporting up to five cardiovascular presidents.

• Coordinate with internal stakeholders and agencies on timelines and deliverables for communications and public affairs initiatives.

• Provide administrative support including document management, meeting notes, follow-ups, and file organization.

• Provide basic support and updates for SharePoint or intranet pages related to Public Affairs, if applicable.Qualifications• 2–3+ years of experience in a corporate environment, preferably supporting executives, communications, marketing, or public affairs within a major corporate entity.

• Experience with financial tracking and expense management (invoices, POs, budgets, and payments).

• Strong organizational skills and attention to detail; comfortable managing multiple priorities and stakeholders across locations.

• Excellent written and verbal communication skills; ability to proofread and support executive-level communications.

• Experience liaising with internal functions (Finance, Procurement, Legal, Tax) and external agencies/partners.
